This policy explains what personal information Oquinox collects, why, and what rights you have over it.
Oquinox is a service provided by Oquinox Ltd, a company registered in England & Wales (company number 03828395), with its registered office at The Innovation Hub, c/o Sillins Cottage, Sillins Lane, Redditch B97 5TP. For the purposes of UK data protection law, Oquinox Ltd is the data controller for the personal information described here. You can reach us at pulse@oquinox.ai.
1. Information we collect
Information you give us
- Account details — your name, email address, and any secondary recovery email you choose to add.
- Security details — information used to protect your account, such as your authentication app setup (two-factor) and, if you enable it, a mobile number.
- Content you provide to the assistant — the messages, instructions, files, and context you share so the assistant can do its work, including information you ask it to remember.
Information we collect automatically
- Usage and session data — records of your activity in the service, sign-ins, and actions taken, used to operate and secure your account.
- Device and approximate location — we use your IP address to estimate the general region of a sign-in (country/region level) to spot unusual access. We do not use this to profile or score you.
Payment information
Payments are processed by Stripe. We do not see or store your full card details — Stripe handles that directly. We receive limited information such as your billing status and the last few digits of your card to manage your subscription.

3. How the assistant uses AI
To do its work, Oquinox sends the content you provide to trusted third-party AI providers that supply the underlying language, speech, and related models. These providers process your content on our behalf to generate responses and complete tasks. We choose providers that commit not to use your content to train their own models for that processing. AI output can be wrong or incomplete, so the service is built to keep you in control: it brings work back to you for approval before acting on anything that matters.
4. Who we share information with
We do not sell your personal information. We share it only with service providers that help us run Oquinox, under contracts that require them to protect it. These include providers for:
- Cloud hosting and infrastructure;
- Payment processing (Stripe);
- AI language and speech processing;
- Email delivery and security tooling.

We may also disclose information where required by law, to protect our rights or users’ safety, or in connection with a business sale or reorganisation.
5. International transfers
Some of our providers operate outside the UK. Where personal information is transferred abroad, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.
6. How long we keep it
We keep your account information for as long as your account is active, and for a reasonable period afterwards to meet legal, accounting, and security needs. Detailed activity logs are kept for a limited period and then deleted. The context the assistant remembers belongs to you: you can review and remove it, and you can take it with you. Where you have shared context that belongs to an employer or third party, that context is removed when your access to it ends.
7. Your rights
Under UK data protection law you have the right to access your information, correct it, delete it, restrict or object to how we use it, and to receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time. To exercise any of these, email pulse@oquinox.ai.
If you are unhappy with how we handle your information, you can complain to the UK’s Information Commissioner’s Office (ICO) at ico.org.uk. We’d appreciate the chance to put things right first.
8. Cookies and similar technologies
We use only the cookies needed to sign you in and keep the service secure. This site loads fonts from Google Fonts, which involves a connection to Google’s servers. We do not use advertising or third-party tracking cookies.
9. Security
We take reasonable technical and organisational measures to protect your information, including encryption in transit, access controls, and support for two-factor authentication. No system is perfectly secure, but we work to keep your data safe and will notify you and the regulator where required if something goes wrong.
10. Children
Oquinox is intended for businesses and is not directed at anyone under 18. We do not knowingly collect information from children.
11. Changes to this policy
We may update this policy from time to time. If we make significant changes, we will let you know by email or through the service. The “last updated” date above shows when it last changed.
